Thanks to all our valued members who registered to attend our 60th Annual General Meeting which will be held in a hybrid format on Wednesday, May 29, 2024, at 3:00 pm.

Upon verification of your registration, you will receive your Zoom meeting credentials to join our hybrid AGM online, as our Head Office can only accommodate the presenters for the AGM.


Voting Process 

  • At the selected time on the Agenda, members will be advised when to vote. 
  • Each member will be provided with the voting link and you will be required to click in the field provide to make your selection and then submit
  • Once submitted, your vote is final
  • The results will be audited by the Department of Co-operatives and Friendly Societies 
  • The results will be shared by the Chairman and will published on screen

Processing of Data

C&WJCCUL takes reasonable measures and steps to ensure that the processing of your personal data is compliant with The Data Protection Act, 2020.  We would like to inform you how we will process your data for our Annual General Meeting (AGM) that is held virtually via Zoom platform.

To participate in the Credit Union’s 60th AGM, registration is required.  This involves the completion of the registration form wherein the following personal information is required:

  • First name, Last Name
  • Member Number or Taxpayer Registration Number
  • Email Address
  • Mobile Number

The bases for collecting the above-mentioned personal information, includes, but not limited to:

  • ensuring that the registered person is a member of C&WJCCUL;
  • ensuring that the registered member is the same person who is in attendance;
  • dissemination of the Zoom meeting credentials for the AGM;
  • Compliance with regulatory obligations.

As a participant at the AGM, the Credit Union is obligated to publish your name so as to comply with our Rules.  

If you choose to exercise your right to vote, your voting decisions, will be recorded. 

If you choose to speak whether via audio or text, and/or open your camera, the data from the chat, microphone and video camera will be recorded and processed.

Your contributions will be transcribed for the purpose of the Minutes.  

Your data will not be transferred to, or shared with a third party unless the Credit Union is obligated to do so under legal requirements.


Security Measures

Your Credit Union has implemented several measures to protect personal data obtained at this 60th Annual General Meeting (AGM), these include but are not limited to the following:

  • Your data will be restricted to only authorised personnel through the use of secure passwords and role-based access controls.
  • Strong encryption methods will be used to secure your personal data both in transit and at rest, ensuring that unauthorized individuals cannot access the data.
  • Physical copies of documents containing your personal data are stored in locked cabinets.
